What the job involves
This Executive Assistant will provide comprehensive support to our Chief Technology Officer (CTO). This role requires flexibility, discretion, and an unwavering commitment to excellence. In our fast-paced, hyper-growth environment with constantly shifting priorities, strong organizational skills will be essential to keeping everything on track.
They will work closely with the CTO, ensuring seamless support both onsite in San Francisco and occasionally offsite in the Peninsula.
Key Responsibilities:
Presentation Preparation: Learn key engineering vocabulary to effectively translate concepts into polished, visually appealing Google Slide presentations.
Executive Support: Manage the CTO’s complex calendar, scheduling meetings, and prioritizing commitments to ensure efficient time management.
Proactively take on projects as they arise, coordinating from idea to plan to execution and post-mortem
Meeting Preparation: Organize and prepare materials for meetings, including taking notes, agendas, and follow-up action items.
Communication Management: Serve as the primary point of contact for the CTO, handling correspondence with professionalism and discretion.
Personal Assistance: Provide occasional personal support, including errands, and other tasks as needed.
Document Management: Draft, review, and organize key documents, presentations, and reports.
Liaison: Act as a bridge between the CTO and internal/external stakeholders, maintaining strong relationships and clear communication.
Qualifications:
Bachelor’s degree preferred. Experience: Minimum of 7 years of executive assistant and project management required experience, with at least 5 years supporting a C-level executive in a fast-paced environment.
Skills: Exceptional organizational and time-management skills; strong written and verbal communication abilities.
Flexibility: Willingness to work non-traditional hours and adapt to changing schedules and priorities.
Proficiency: Advanced proficiency in Google Workspace, and other productivity tools; familiarity with project management tools is a plus.
Professionalism: High level of discretion and confidentiality when handling sensitive information.
Location: Comfortable commuting to our San Francisco office three days per week, with occasional offsite work in the Peninsula.
Attributes: Detail-oriented, proactive, resourceful, and able to anticipate the needs of the CTO. Experience in the tech industry or a startup environment.
